Privacy Policy

Definitions
- The tool means PropAgent OS, the private working platform for property agents.
- We / us means the provider that operates the tool.
- You / the agent means the property agent who signs in and uses the tool.
- Client / buyer means a person whose details an agent records to serve them.
- Personal data means information that identifies a living person, such as a name, phone number or financial detail.
Who we are
PropAgent OS is a private, invite-only working tool for property agents. It helps recruited agents generate content, manage their leads, prepare for client calls, and track their own sales activity. This policy explains what personal data the tool handles and how it is protected, in line with Malaysia's Personal Data Protection Act 2010 (PDPA).
Consent
By creating an account and using the tool, you agree to this Privacy Policy. When we ask you to provide personal information, we make clear at that point why it is needed. If you do not agree with this policy, please do not use the tool.
What we collect
Your account data (the agent). When you sign in we store your name, email, phone if you add it, your profile photo if you upload one, and the activity you record in the app: posts, missions, lessons completed, points and the leads you add.
Client data you enter (the buyer). As you work, you may record details about the people you serve: name, phone or WhatsApp handle, age, budget, purpose of buying, and notes you take on a call, including loan-related remarks. You enter this to do your job, and you are responsible for collecting only what the client is comfortable sharing.
How we use it
We use the information collected to:
- Provide, operate and maintain the tool and your account
- Show and organise the leads you add so you can follow up
- Generate draft content, reply suggestions and images at your request
- Prepare loan-eligibility and project-comparison information for your calls
- Track your activity, points and sales funnel so you and your team leader can see progress
- Send you service messages about your account and the tool (not marketing blasts)
- Keep the service secure and detect or prevent abuse and fraud
We do not sell or rent your data, show you ads, or build advertising profiles. We do not use your client data for anything other than helping you serve that client.
Who can see it
Your leads and client data are private to your account. Other agents cannot see them. Your team leader (if you report to one) and the platform administrator can see your pipeline in order to coach and support you. Access is enforced at the database level, not just in the screen.
Who processes your data
To run the tool we rely on trusted cloud infrastructure and AI providers. Each handles only what its job needs: storing your data securely, generating the drafts and images you request, hosting the application, and recording technical errors so we can fix crashes (error monitoring is configured not to capture personal or financial data). These providers process data only on our instructions and do not use it for their own advertising.
Where your data is processed
The tool is used in Malaysia, but some of the providers above process data on servers located outside Malaysia. By using the tool you consent to this transfer, which is done only to deliver the service and under each provider's own security commitments.
Disclosure when required by law
We may disclose personal data where we are required to by law, a court order, or a legitimate request from a regulator or authority, or where it is necessary to protect our rights, safety, or property. We do not otherwise disclose your data to outside parties.
How long we keep it
Account data is kept while your account is active. Client lead data is kept for up to 24 months after the last activity on that lead, after which it becomes eligible for deletion. You can delete an individual lead at any time from your leads board; deleting a lead removes its call log, messages and financial notes with it.
Your rights under the PDPA
Under Malaysia's PDPA 2010 you may ask what personal data we hold about you, ask us to correct it, withdraw your consent, or ask us to limit how it is processed. You can do most of this yourself in Settings; for anything else, contact us (below) and we will respond within a reasonable time.
Data you enter about other people
When you record a client's details, that person is the data subject. You are responsible for collecting only what they are comfortable sharing and for having their agreement to hold it. If a client asks you to correct or delete their information, use the delete action on the lead, which removes the lead and its call log, messages and financial notes. Do not enter data you are not authorised to hold.
Cookies
We use only essential cookies that keep you signed in and remember your display preference. We do not use advertising, analytics or tracking cookies, so no cookie-consent banner is needed. Clearing these cookies simply signs you out.
Links to other sites
The tool may link to external sites, for example a developer's or a bank's official portal. We are not responsible for the content or the privacy practices of those sites; their own policies apply once you leave the tool.
Security
Data is stored on managed cloud infrastructure with encryption in transit. Any AI keys you save are encrypted before storage and never shown back to the browser. Access to the app requires a login and an invite. No method of storage or transmission is completely secure, but we apply reasonable safeguards to protect your data.
For working agents only
The tool is a professional platform for working property agents and is not intended for anyone under 18. We do not knowingly collect data from children.
This policy may change
We may update this policy as the tool evolves. The "Last updated" date at the top always shows the current version, and material changes will be noted here.
